Our downtown Toronto client, one of the Seven Sisters, has a current opening for a professional Legal Assistant to join their IP group! You must have strong knowledge of legal terms, documents, and procedures for this role, as well as proficiency with MS Office (Outlook, Excel, Word) and also PowerPoint. Some flexibility will be required for occasional overtime here.

As the successful candidate, you will:

-Act as key contact for all matters relating to coordinating travel arrangements; LSUC renewal applications and CPD credit tracking; updating bios, internal and external conferences, and liaising with Boards, etc.;
-Prepare correspondence and legal documents according to precedents and instructions;
-Maintain accuracy of client databases;
-Coordinate client meetings, schedule boardrooms and arrange for catering or audio-visual equipment;
-Manage calendars and reminder system for lawyers;
-Handle incoming/ outgoing mail, email, fax, and couriers;
-Screen/ route calls; respond to routine inquiries; work with other departments to respond to requests;
-Provide backup support for other Legal Assistants when necessary;
-Coordinate activities with other departments and staff as required (e.G., Facilities, Marketing, etc.);
-Input dockets, monitor works in progress, and prepare bills, pre-bills, and billing reports for clients;
-Work with the Conflicts and Records team to coordinate new file openings, intake, conflict search and audits;
-Maintain and organize files according to firm guidelines; and
-Participate in project management and other initiatives.
